Solutions for Recording and Processing of Minutes
 
 
 

Most organisations have the requirement to take and record minutes of meetings. For many years this process has been complicated by the need to disseminate such meeting notes to the meeting attendees for comment followed by a consolidation of the comments and finally issue of a completed document all within a restricted time period.

Taking advantage of the jComply inbuilt word processor and inbuilt workflow, one organisation has used jComply and the inbuilt review features, email notifications and time nagging to support the time critical path for this process.

Minutes are taken in a traditional way during the meeting. They are then typed into a document template held within the word processor of jComply and the author sends the item out to chosen people through the workflow. Recipients have an opportunity to comment in the comments area of the word processor which can also be seen by other users invited into the process.

Once reviewed the author can revise the document with such changes as required and then forward to a senior director or chair person for approval and final publication.

Final distribution can again benefit from automation through the workflow feature as described earlier.
